What are Team Agents and who inside my company are they for?
Team Agents are internal-facing AI assistants that let your employees ask questions in plain language and get sourced answers from your own knowledge, without interrupting an expert. Unlike kapa.ai's customer-facing deployments, which serve website visitors and community members, Team Agents are built for internal teams such as engineering, support, sales, and solutions. You can stand up a dedicated agent per team and tune each one to the job it needs to do, so a sales agent and a support agent answer in the way that fits their context. They are commonly used for employee onboarding, knowledge management, and guiding people through complex internal processes. The result is a single, always-available source of truth that reduces the time experts spend answering repeat questions.
Which knowledge sources can a Team Agent draw on?
Team Agents connect to more than 30 source types, so you can ground answers in the knowledge your team actually relies on. This includes internal wikis and documentation, help centers, process guidelines, company policies, GitHub code, PDFs, and SDKs, alongside any relevant public documentation. Because Team Agents typically run on internal projects, they can also include private data sources that are not exposed to customer-facing deployments. You control which sources each agent can use, and end users can further filter to specific sources for a given question. Kapa answers truthfully based only on the sources it is connected to, so the quality and structure of what you ingest directly shapes answer quality.
How do you control who can access internal information?
Access is gated behind authenticated sign-in, so only your organization's employees can use a Team Agent. Users sign in with their company email through Google Sign-In or SAML SSO with providers like Okta or Entra ID, and access to a given project is governed by the "Use Internal Chat Assistant" role-based permission. Owners automatically have access to all enabled projects, while Member and User roles can be granted access explicitly. For broad rollout, you can turn on team-wide access so everyone on your domain can reach the agent in one step, paired with automatic user provisioning. This combination lets you open knowledge widely to employees while keeping sensitive sources scoped to the right people.
How accurate are the answers, and can people verify them?
Team Agents return sourced answers, so every response is grounded in your connected knowledge rather than open-ended model guessing, and users can trace claims back to the underlying material. Kapa is designed to answer truthfully from its sources and to avoid fabricating information when the knowledge is not present. For harder questions, a deep thinking mode lets the agent reason longer and cover a broader portion of your knowledge base for more comprehensive answers. Users can also attach files such as PDFs, images, and text or code files to add context to a specific question. Built-in feedback like thumbs up or down, plus usage and conversation analytics, helps you spot gaps and continuously improve responses.
How much effort does setup take, and how is my data handled?
Getting started is light, and most kapa.ai customers go live in under 7 days. You connect your sources once, then customize an agent per team by setting which sources it can use and how it responds. Teams can use it as an SSO-ready standalone chat for the whole org, or plug the same agent into tools they already use like Claude and ChatGPT over MCP, and it can also be installed as a desktop app. On security, kapa.ai is SOC 2 Type II certified and GDPR compliant, internal conversations stay private to each individual user, and private internal projects keep sensitive sources separate from any customer-facing use.
